Accounts
Accounts are how you organise money in Lui Ledger: what you own, what you owe, what you earn, and what you spend. You use them when recording transactions, browsing balances, and setting up reports. Lui Ledger uses double-entry bookkeeping: every movement of money has two sides across these accounts.
How-to
Add an account
You can add an account from Settings, from an account page, or while choosing an account in a selector.
From Settings
- Open Settings, then Accounts.
- Open a category (for example Asset or Expense).
- Choose Add account, or open the menu on an existing account and choose Add account to create a subaccount under it.
- Enter an Account Name.
- If the dialog shows Category, pick the category that fits (for Asset accounts this may include Cash; for Equity accounts this may include Conversion).
- Confirm that Subaccount of points to the parent you want, then choose Add.
From an account page
- Open Assets, Expenses, Liabilities, or Revenues.
- Open the page menu and choose Add account, or use Add account from the subaccounts list.
- Enter the account details and choose Add.
From a selector
- Open a field that says Select account (for example in a transaction).
- Choose Add New Account.
- Enter the account details and choose Add.
- The new account is selected in the field after it is created.
Edit an account
- Open the account in Settings > Accounts (category tree), or open it on an account page.
- Open the menu and choose Edit account.
- Change the Account Name, and change Category if the dialog offers that option.
- Choose Save.
Top-level category accounts (such as the root Asset or Expense account) cannot be renamed. When you edit an account, you cannot change which account it sits under.
Delete an account
- Open the account in Settings > Accounts, or open it on an account page.
- Open the menu and choose Delete account.
- Confirm the deletion.
You cannot delete an account that still has subaccounts. You also cannot delete an account that is still used in transactions, transaction rules, widgets, or import sources. Top-level category accounts cannot be deleted.
Choose an account in a selector
- Open a field labelled Select account (or a similar account field).
- Start typing to filter the list, or browse the options.
- Select one account (or more, if the field allows multiple).
Some selectors only show accounts of certain categories. Account names appear with their place in the hierarchy, such as Expense > Groceries.
Reference
Where accounts appear
- Settings > Accounts - Manage the full account tree by category. The page lists Categories: Asset, Expense, Liability, Revenue, and Equity. Opening a category shows that category's tree.
- Account pages - Assets, Expenses, Liabilities, and Revenues each focus on that category. Use breadcrumbs to move up and down the tree, and the page menu to search, add, edit, or delete accounts (edit and delete are for accounts that are not the top-level root). These pages also show predefined widgets and share period, commodity, and empty-account controls with the Dashboard, but you cannot rearrange those widgets. App-wide Search can also jump to an account or its settings.
- Account selectors - Fields used across the app (transactions, rules, widgets, import settings, and the account dialog) to pick one or more accounts. Placeholder text is Select account. You can often create a new account from the same field with Add New Account.
Categories
| Category | Meaning |
|---|---|
| Asset | Things you own |
| Cash | Liquid assets (a refinement of Asset), such as bank or cash on hand |
| Liability | Things you owe |
| Equity | Owner's balance that ties assets and liabilities together |
| Conversion | Equity used for commodity conversions (a refinement of Equity) |
| Revenue | Money coming in (also called income) |
| Expense | Money going out |
In Settings > Accounts, the category cards are Asset, Expense, Liability, Revenue, and Equity. Cash accounts live under Asset; Conversion accounts live under Equity. When you add or edit an account in those groups, Category may let you choose between the main category and its refinement.
There is no separate Equity account page in the main navigation. Equity accounts are managed under Settings > Accounts.
Add / Edit Account fields
- Account Name - The name of this account segment (for example
Utility). - Category - The account's category. Shown when more than one related category is allowed (for example Asset and Cash).
- Subaccount of - The parent account. When the parent is fixed, the dialog shows that this account is a subaccount of that parent instead of a chooser.
How account names are shown
- In lists and selectors, the full path is usually shown with
>between levels, for exampleAsset > Bank > Checking. - In the Settings account tree and similar lists, each row shows only that level's name; indentation shows the hierarchy.
- Root category labels appear as Asset, Liability, Equity, Revenue, and Expense (even when the underlying root names differ).
Delete limits
An account cannot be deleted when:
- It has subaccounts (Cannot be deleted due to having subaccounts.)
- It is used in one or more transactions
- It is used in one or more transaction rules
- It is used in one or more widgets
- It is used in one or more import sources
Explanation
What an account is
An account is a named place money can move to or from. Some accounts map to real-world places (a bank account, cash in your wallet). Others are categories you invent for reporting (groceries, rent, salary).
Every transaction posts amounts to accounts. Clear account names make balances and reports easier to read.
Hierarchy and subaccounts
Accounts form a tree. A parent can have subaccounts, and those can have their own subaccounts. That lets you summarise at a high level (all expenses) or drill into detail (expenses for utilities, then mobile).
When you add an account under a parent, it becomes a subaccount of that parent. Balances and views that show an account often include its subaccounts unless a control says otherwise (for example Hide empty accounts / Show empty accounts on account pages).
Categories and top-level roots
Lui Ledger organises accounts under five top-level roots that match common bookkeeping categories: Asset, Liability, Equity, Revenue, and Expense. For how those types relate, how money flows between them, and the balance equation, see Double-entry bookkeeping.
Cash and Conversion refine Asset and Equity:
- Use Cash for liquid assets you want to treat separately from other assets.
- Use Conversion for equity related to converting between commodities (currencies or other units). For market prices and transaction cost used in conversions, see Prices.
Category affects which Settings tree and which account page an account belongs to. Asset and Cash accounts appear under Assets; Liability under Liabilities; Revenue under Revenues; Expense under Expenses. Equity and Conversion are managed in Settings.
Why accounts show up everywhere
Because transactions, smart rules, imports, and reports all refer to accounts, the same account tree is reused across the app. Settings is where you shape that tree. Account pages are where you browse a category. Selectors are where you point a specific action or setting at one or more accounts.
